1. Getting Started

1.1 Create Your Account

  1. Go to the mindyOne website and click Sign Up.
  2. Enter your email address and choose a password (at least 8 characters), then click Create Account.
  3. You can also sign up using your Google account by clicking Continue with Google.
  4. Once signed in, you will be taken directly to the setup process.

Note: This account is for you as the business owner. Your customers do not need to create accounts — more on that in Section 5.


1.2 Choosing How to Set Up Your Page

The first time you log in, you'll be asked to choose how you'd like to set up your business page. All three methods produce the same result — a full page with a headline, description, service cards, and FAQ section — so pick whichever fits how you like to work. You can always edit anything afterward in Settings.

Option 1 — Upload a Document (Fastest)

If you already have a price list, menu, or brochure, this is the quickest option.

  1. Select Upload a document.
  2. Drag and drop or select a file. Accepted types: PDF, TXT, MD, DOC, DOCX — max 10MB.
  3. The AI extracts your business details automatically. You'll see a short "Extracting from [filename]..." status while this happens.
  4. Once done, you'll land on the preview screen with a confirmation banner (e.g. "Parsed successfully — 6 services, 4 FAQs found").

Note: If your document doesn't include certain details (like working hours or a phone number), the AI will fill in sensible defaults — for example, Monday–Friday 9am–5pm. Review the preview carefully and correct anything that doesn't match your actual business before publishing.

Option 2 — Fill Out a Form (Most control)

A step-by-step form if you'd rather type in details directly instead of chatting or uploading a file.

  1. Select Fill out a form.
  2. Complete the four steps:
    • Basics — business name, business type, description, contact details, address, currency, timezone, and AI response language.
    • Services — add each service with its name, duration, price, and an optional description. At least one service is required.
    • Working Hours — set your open/closed days and hours for each day of the week.
    • Review — your generated page preview.
  3. Each step is validated before you can continue.

Option 3 — Answer a Few Questions (Most guided)

The AI will guide you through setting up your business page by asking you questions — no forms to fill out.

  1. Select Answer a few questions.
  2. The AI will greet you and ask for your business name.
  3. It will then ask a series of questions one at a time, such as:
    • What type of business do you run?
    • Where are you located?
    • What services do you offer, and what do they cost?
    • What are your working hours?
    • What are the most common questions your customers ask?
  4. Answer each question in plain, natural language. For example: "We're open Monday to Friday, 9am to 5pm, with a lunch break from noon to 1pm." The AI will interpret your answer correctly.
  5. After around 8–12 questions, the AI will generate your full business page.

All three options lead to the same next step: a live preview of your page, described below.


1.3 Preview and Publish Your Page

  1. After the interview is complete, you will see a live preview of your generated page.
  2. Review the content. If anything needs changing, you can edit it directly in the preview.
  3. When you are happy with how it looks, click Publish my page →.
  4. Your page goes live immediately at a web address like: https://mindyone.com/your-business-name
  5. A QR code is generated automatically at the same time. You can download it from your dashboard and print it — put it on your front desk, window, business cards, or anywhere customers will see it.

1.4 What Your Customers See

When a customer scans your QR code or visits your link, they land on your business page. They will see:

  • Your business name, tagline, and description
  • Your list of services with prices
  • Your working hours
  • A chat window where they can talk to your AI assistant — or, if you prefer, a Book Appointment button that takes them straight to booking (see 2.2)

Customers do not need to download anything or create an account. They just open the page and start booking.


2. Setting Up Your Business Page

All settings are found in your dashboard under the Settings section. Settings are organised into tabs: General, Working Hours, Branding, Page Template, Notifications, SEO, and Security.

Two things you might expect to find here live on their own pages instead: your services (Section 3) and your team (Section 4).


2.1 General Settings

This is where the core information about your business lives.

  1. Go to Dashboard → Settings → General.
  2. Fill in or update the following fields:
    • Business Name — the name shown at the top of your page.
    • Tagline — a short one-liner shown beneath your name (e.g. "The best haircuts in town").
    • Description — a few sentences about your business.
    • Phone and Email — your contact details, shown to customers and used for booking notifications.
    • Address and City — your physical location.
    • AI Assistant Name — the name your AI will introduce itself with (e.g. "Maya", "Alex"). Pick whatever feels right for your brand. This field only appears while the AI assistant is switched on (see 2.2).
    • Default Language — the language the AI uses before it detects what language a customer is speaking.
    • Business Timezone — your local timezone. This controls when your availability slots are generated, so it must match your actual location.
  3. Click Save Changes.
  4. Below the main form, two further settings are available and save immediately (no need to click Save Changes):
    • Dashboard Language — the language of your dashboard and admin interface. This is separate from your business's AI response language above — you can run your dashboard in one language while your AI replies to customers in another.
    • AI Assistant — a toggle that decides whether your page offers a chat or goes straight to booking. See 2.2 below.
    • Public Discovery — a toggle that shows your business in mindyOne's public search, where customers can browse and discover businesses without a direct link. Turn it off to keep your page accessible only to people who have your direct link or QR code.

2.2 Turning the AI Assistant On or Off

Not every business wants a chat. If yours is the kind where customers already know what they want and just need a time, you can switch the AI assistant off and give them a simpler page.

  1. Go to Dashboard → Settings → General.
  2. Find the AI Assistant toggle and switch it off.

That's it — the change is live on your page straight away. Here's what's different:

Note: Turning the assistant off never deletes anything. Your past conversations, everything in your Knowledge Base, and your assistant's name are all kept exactly as they were. Switch it back on whenever you like and it picks up where it left off.

Your customers still book the same way — pick a service, pick a time, confirm with the code emailed to them. The button simply opens the booking form directly instead of the customer having to ask for it.


2.3 Availability (Working Hours)

This tells the AI when you are open for bookings.

  1. Go to Dashboard → Settings → Working Hours.
  2. You will see a list of days from Sunday to Saturday.
  3. Tick the checkbox next to each day you are open. Untick days you are closed.
  4. For each open day, set your opening time and closing time using the time pickers.
  5. To add a break (for example, a lunch break):
    • Click + Add break under the relevant day.
    • Set the start and end time of the break.
    • Customers will not be able to book slots that fall within break times.
    • You can remove a break by clicking the next to it.
  6. Click Save Availability when done.

Holiday and Closure Dates:

If you need to block off specific dates — a holiday, a vacation, a training day — you can add them below the weekly schedule.

  1. Under the availability settings, scroll down to Closures & Holidays.
  2. Set a Start Date and End Date for the closure. For a single day, set both to the same date.
  3. Optionally add a description (e.g. "Christmas Day", "Summer Vacation").
  4. Click Add Closure.
  5. Customers will not be able to book any appointments that fall within those dates.
  6. To remove a closure, click the delete icon next to it in the list.

2.4 Branding

Customise the visual appearance of your page.

  1. Go to Dashboard → Settings → Branding.
  2. Logo: Click the logo upload area, select an image file from your computer, and it will be uploaded and shown on your page.
  3. Photo Gallery (Pro plan) — show off photos of your space, work, or team directly on your live page.
    • Click Add to upload a photo. Accepted formats: PNG, JPG, or WebP — max 4MB per photo, up to 12 photos total.
    • Each photo uploads and appears right away — there's no separate save step.
    • To remove a photo, hover over it and click the that appears in the corner.
    • Gallery photos only display on templates that have a gallery section — Aurora, Lumen, Atlas, Pulse, and Luxe. The two Basic templates, Studio and Horizon, don't show a gallery on the live page, so if you're using one of those your uploaded photos stay saved but won't appear until you switch to a template that supports them.
    • On the Basic plan, this section shows an upgrade prompt instead of the uploader — upgrade to Pro to unlock it.
  4. Primary Colour and Accent / Chat Colour: Click the colour pickers to choose your brand colours. You can also type a hex code directly (e.g. #4F46E5).
  5. Click Save Colors.

The "Powered by mindyOne" badge shown at the bottom of your page can be removed by upgrading to a Pro plan.


2.5 Page Template

Choose the visual design style of your customer-facing page.

  1. Go to Dashboard → Settings → Page Template.
  2. You will see seven design options to choose from:
    • Studio — clean, modern, and professional. The refined default that suits any business.
    • Horizon — warm, friendly, and trustworthy. A welcoming split layout for local services, trades, clinics, and tutors.
    • Aurora — premium dark glass with a living gradient. Great for premium salons, boutique studios, and high-touch fitness.
    • Lumen — editorial luxury with serif display type and hairline rules. Ideal for boutique salons, spas, ateliers, and fine dining.
    • Atlas — a calm, premium bento board of modular tiles. Suited to creative studios, modern services, and tech-forward shops.
    • Pulse — high-energy and kinetic with bold blocks. Made for gyms, trainers, sports, dance, nightlife, and events.
    • Luxe — cream and gold elegance with refined serif typography, made for premium brands like spas, luxury salons, fine dining, and high-end beauty.
  3. Click any template to see a mini-preview.
  4. Click Apply Template to save your choice. Changes take effect immediately on your live page.
  5. Click Preview live page ↗ to open your customer page in a new tab and see the full result.

2.6 Notifications

  1. Go to Dashboard → Settings → Notifications.
  2. You will see the Morning Briefing Email — a daily email sent automatically to your business email address every morning at 7:00 AM UTC (approximately 8–9 AM for most European time zones).
  3. The briefing includes:
    • Today's appointments and expected revenue
    • First-time customer callouts
    • A week-over-week performance comparison
  4. To test it, click Send test briefing. A sample email will be sent to your business email address immediately.

Make sure your business email is filled in under Settings → General, otherwise briefings cannot be delivered.


2.7 Security

  1. Go to Dashboard → Settings → Security.
  2. To change your password, enter your new password twice and click Update Password.
  3. Passwords must be at least 8 characters long.

3. Services

Your services are what customers actually book. They live on their own page — Dashboard → Services — not inside Settings.


3.1 Adding and Editing a Service

  1. Go to Dashboard → Services.
  2. Click Add Service to create a new service.
  3. Fill in:
    • Service name (e.g. "Men's Haircut")
    • Duration in minutes
    • Price
    • A discount price (optional) — leave it empty for no discount. It must be lower than the regular price. When set, this is the price customers are quoted and charged.
    • A category (optional) — see 3.2 below
    • An optional description
  4. Click Save.
  5. To edit an existing service, click the Edit (pencil) icon next to it.
  6. Every service shows a Status badge — Active or Inactive:
    • Active services appear on your customer-facing page and can be booked, both through the AI chat and the direct "Book Appointment" flow.
    • Inactive services are hidden everywhere customers can see or book — your public page, the AI chat, and manual booking — but stay listed in your dashboard so you can bring them back later.
  7. To temporarily stop taking bookings for a service without losing it, click the toggle icon next to it (shown in green when Active). This is the safest option if, for example, a staff member is away or you're pausing a seasonal offer — it does not cancel any bookings the service already has, it only prevents new ones. Click the toggle again at any time to reactivate the service.
  8. To permanently delete a service, click the Delete (bin) icon and confirm. Permanent deletion is only allowed when the service has no active or pending bookings — if it does, you'll be asked to deactivate it instead (see point 7).

Your active services will automatically appear on your customer-facing page and the AI will be able to quote prices and durations when customers ask.


3.2 Organising Services into Categories

If you offer a lot of services, categories group them under headings — Waxing, Colour, Massage — so customers aren't scrolling one long list.

A category is a heading, not something anyone books. It has no price, no duration, and never appears as an option on its own. It only changes how your services are presented.

To create one:

  1. Go to Dashboard → Services.
  2. In the Categories section, click Add category.
  3. Give it a Category Name (e.g. "Waxing") and, if you like, a short description.
  4. Click Save Category.

To put a service in a category, edit the service and pick the category from the Category dropdown. Choose No category to take it back out.

Each category appears as a chip in that section. Drag the chips into the order you want — that's the order customers see. Hover over a chip to reveal its edit (pencil) and delete (bin) buttons.

Deleting a category never deletes its services. As the confirmation says: "Services in this category will become uncategorized, not deleted." They stay live and bookable exactly as before — they simply stop being grouped, and appear under Other Services alongside anything else you haven't categorised.

Where customers see the grouping: on your public page, and in the Book Appointment flow, where the service step shows collapsible category headings with a count of what's inside each. You get the same grouping when you add a booking by hand (see 5.4), so what you see matches what they see.


3.3 Booking More Than One Service in a Visit

A customer who wants a cut and a colour books them as one visit, not two separate appointments.

  • On the service step, tapping a second service adds it rather than replacing the first. Each one appears in a running "Your visit" list with a remove button and a running total of time and price, so it's always clear what's included.
  • Up to 5 services can go in a single visit.
  • The services are scheduled back to back as consecutive segments — the visit takes as long as all of them added together, and the time slots offered account for that.
  • Different people can do different services. If more than one of your team can perform a service, the customer is asked who should do each one, and can leave any of them on Any available.
  • It arrives as one appointment in your calendar. In your team performance figures (see 7.5) it counts as one appointment with several services performed, so your appointment count reflects people through the door rather than lines on a receipt.

You can build the same multi-service visit yourself when entering a booking by hand — see 5.4.


4. Your Team

Dashboard → Team is where you manage the people customers can book with. Every business starts with one person — you — so if you work alone there is nothing you have to do here.

Adding people is what turns on the "who would you like?" step for customers: as soon as more than one person can perform a service, customers are asked to choose, with Any available as the default.


4.1 Adding a Team Member

  1. Go to Dashboard → Team.
  2. Click Add team member.
  3. Fill in their Name, and optionally a Role / title (e.g. "Senior stylist") and a short bio — customers see both.
  4. Leave Customers can book this person ticked if they take appointments. Untick it for someone who works with you but isn't bookable.
  5. Click Save.

New team members follow your business hours and offer all your services to begin with. You can fine-tune either at any time — see 4.2 and 4.3.

To add their photo, save them first, then click Edit on their card — the photo uploader only appears once the person exists. PNG, JPG or WebP, max 2 MB. The photo is shown to customers when they're choosing who to book with.

How many people can take bookings depends on your plan. If you're at your plan's limit, adding another bookable person is blocked until you upgrade.


4.2 Working Hours for One Person

Open a team member's card and click Schedule & services, then the Working hours tab.

  • Use business hours (the default) means they follow the hours in Settings → Working Hours, including any future changes you make there. Change your opening time once and everyone on business hours moves with it.
  • Untick it to give that person custom weekly hours — their own opening and closing time per day, for them alone.

Breaks work the same way at both levels: click + Add break under a day, set its start and end, and customers can't book across it.

Custom hours replace the business day rather than layering on top of it. Someone on custom hours uses their own breaks, not the business ones — so if they need a lunch break, add it to their schedule. Someone on business hours gets the business breaks.


4.3 Which Services Each Person Offers

Same panel, the Services tab.

  • Performs all services (the default) means exactly that, including services you add later — you never have to come back here after adding a service.
  • Untick it to pick specific services. At least one must stay selected.

Customers are only offered a person who can actually perform the service they've chosen, so this is also how you keep someone from being booked for work they don't do.


4.4 Time Off

Same panel, the Time off tab. Add a From and To date and, if it's useful to you, a reason ("Vacation") — the reason is for your records and is never shown to customers.

Time off blocks bookings exactly like an appointment does: those slots simply stop being offered for that person. Everyone else's availability is unaffected.


4.5 Giving Someone Their Own Login

A team member can have their own login to a staff portal, where they see only their own schedule, appointments, clients and availability — never a colleague's, and never your business-wide totals.

  1. On their card, find Portal access and click Invite to portal.
  2. Enter their email and choose what they get:
    • Staff — their own schedule, appointments, clients and availability.
    • Manager — the full dashboard instead: every calendar, every client, the team and the performance figures. Managers do not get billing, settings, or the AI knowledge base.
  3. Optionally grant extra access to widen what a staff member can see without making them a manager — see the whole team's calendar, or see all clients.
  4. Click Send invitation. They receive an email to set up their own password.

The invitation link is valid for 7 days. You can Resend it, or Revoke access at any time.

Own logins for your team are a Pro feature. Only the business owner can give someone manager access.


4.6 Deactivating Someone

When someone leaves, deactivate them — don't delete them.

Click Deactivate on their card. They stop appearing to customers and stop taking new bookings, but their booking history is kept so your past figures stay correct. You can Reactivate them at any time. Deactivating also revokes their portal login immediately.

If they still have upcoming appointments, you'll be told how many so you can reassign them from the Calendar first — see 5.7.


5. Managing Bookings

5.1 How Bookings Arrive

Bookings come in through your customer-facing page. Here is what the process looks like from the customer's side:

  1. The customer opens your page (via QR code or link) and starts chatting with your AI assistant. If you've switched the assistant off (see 2.2), they tap Book Appointment instead, pick their service and time in the booking form, and everything from step 5 onwards is identical.
  2. They ask about a service or express that they want to book.
  3. The AI checks your live availability and offers available time slots near their preferred date.
  4. The customer picks a slot.
  5. The AI asks for their name and email address.
  6. The customer receives a 6-digit verification code by email to confirm their identity. They type the code into the chat.
  7. The AI confirms the booking details (service, date, time, price) and the customer confirms.
  8. The booking is instantly confirmed.
  9. The customer receives a confirmation email with the booking details.
  10. You receive a notification email at the same time.

5.2 About Customer Records

Customers do not explicitly sign up or create a password-protected account. However, when a customer completes a booking, their name, email address, and phone number are automatically saved to your customer list. The 6-digit email verification code (OTP) they receive during booking is how their identity is confirmed — it proves they own the email address they provided.

You can view all your customers in Dashboard → Customers (see Section 7.4).


5.3 Viewing Your Bookings Calendar

  1. Go to Dashboard → Calendar.
  2. You will see a week view showing all confirmed bookings as blocks on a timeline.
  3. Use the left and right arrows to move between weeks.
  4. Each booking block shows the customer's name, service, and time.
  5. Click a booking block to see the full booking details.

5.4 Adding a Booking Manually

If a customer books by phone or in person, you can add the booking directly from the calendar.

  1. Go to Dashboard → Calendar.
  2. Click the New Appointment button.
  3. Fill in the customer's name, email, and phone (optional).
  4. Pick the service (or services) for this visit. If you have your services organised into categories, they're grouped the same way customers see them on your page — tap a category to open it, then tap a service to add it to the visit. Add as many services as the customer wants; each one appears in a running "Your visit" list with a remove button, so it's always clear what's included before you save.
  5. If more than one team member can take this appointment, choose who's doing each service — or leave it on Any available and the busiest schedule will be avoided automatically.
  6. Set the date and time.
  7. Click Save.

Note: If you're entering an appointment for a date and time that's already passed, you must say who actually performed it — there's no "any available" for something that already happened. If you have only one team member, this is filled in for you automatically.


5.5 Cancelling a Booking

As the owner:

  1. Go to Dashboard → Calendar or the overview on the main dashboard.
  2. Find the booking you want to cancel.
  3. Click on the booking and select Cancel.
  4. A cancellation email will be sent to the customer automatically.

The customer cancelling themselves:

The confirmation email sent to customers includes two links at the bottom: Cancel and Reschedule. Customers can click either link to manage their booking themselves without calling you.

  • The cancel link opens a secure page where the customer confirms they want to cancel.
  • The reschedule link opens a page where they can pick a new available time slot.
  • These links are valid for 72 hours from when the confirmation email was sent. After that, the customer would need to contact you directly.
  • When a customer cancels or reschedules, you receive an email notification automatically.

5.6 Booking Statuses

Bookings can have the following statuses, which you will see in your dashboard:

CancelledThe booking was cancelled, either by you or the customer.
No-showThe customer did not attend.
CompletedThe appointment has taken place.

5.7 Correcting Who's Assigned to an Appointment

If an appointment ends up assigned to the wrong team member — most often when entering a past appointment and picking the wrong name — you don't need to cancel and re-book it.

  1. Go to Dashboard → Calendar and click the booking.
  2. Click Change employee.
  3. You'll see who it's currently assigned to. Pick the correct team member from the list.
  4. Click Confirm Change.

The appointment's date and time stay exactly the same — only who's credited with it changes. If the appointment is still upcoming, the newly-assigned team member gets an email letting them know it's on their schedule; nothing is sent for an appointment that's already happened.

Note: This option only appears when you have more than one team member, and it isn't available for a cancelled appointment.


6. Updating Your Knowledge Base

The Knowledge Base is where you store all the information about your business that the AI uses to answer customer questions. The more detailed and accurate it is, the better your AI will perform.

Note: This page is part of the AI assistant. If you've switched the assistant off (see 2.2), you won't see it in your menu — everything you've uploaded is kept and comes straight back when you switch the assistant on again.

Start with the questions the AI couldn't answer. At the bottom of this page, under Business Brain, you'll find Questions Without Good Answers — real things customers asked that the AI struggled with, because the information wasn't here. It's the most practical to-do list you'll get for improving your AI, and it sits on this page precisely because the fix for every item on it is here too. The list appears only when there's something on it.

6.1 What to Upload

Good things to add to your Knowledge Base include:

  • Price lists and service menus
  • Detailed descriptions of what each service involves
  • FAQs (questions customers frequently ask)
  • Policies (cancellation policy, parking, what to bring, etc.)
  • Staff bios or specialist expertise
  • Any specific information that is unique to your business

6.2 Uploading a Document

  1. Go to Dashboard → Knowledge Base.
  2. Click Upload PDF (or drag and drop a file).
  3. Accepted file types: PDF, TXT, and MD files. Maximum file size: 10MB.
  4. The document will go through the following stages, shown in a status badge next to the file:
    • Pending — the file has been received and is in the queue.
    • Processing — the AI is reading and indexing the content.
    • Ready — the AI can now use this document to answer customer questions.
    • Error — something went wrong. Try uploading the file again.
  5. Once a document is Ready, the AI starts using it immediately for all new conversations.

6.3 Adding Text Directly

If you want to add information without uploading a file:

  1. Go to Dashboard → Knowledge Base.
  2. Click Add text manually (or the equivalent button).
  3. Type or paste your content into the editor.
  4. Give it a title so you can recognise it later.
  5. Click Save. It will be processed the same way as an uploaded file.

6.4 Viewing How the AI Read Your Document

For any document with Ready status, you can see exactly how the AI broke it down:

  1. Click the eye icon next to the document name.
  2. A panel opens showing each section (called a "chunk") the AI indexed, along with its content and an approximate token count.
  3. This is useful for checking that important information was captured correctly.

6.5 Deleting a Document

  1. Click the delete (bin) icon next to the document.
  2. Confirm the deletion.
  3. The document and all its indexed content are removed. The AI will no longer use this information.

6.6 Business Brain — AI Analysis of Your Knowledge Base

The Business Brain feature analyses everything in your Knowledge Base and gives you a plain-English summary.

  1. Go to Dashboard → Knowledge Base.
  2. Scroll down to the Business Brain panel.
  3. Click Analyse (or Refresh if you have run it before).
  4. After a few seconds, you will see three sections:
    • Coverage — what topics your AI currently knows well.
    • Observations — things the AI noticed that seem inconsistent, incomplete, or worth revisiting.
    • Suggestions — specific things you could add to improve the AI's answers.
  5. Use these suggestions as a checklist to improve your Knowledge Base over time.

6.7 Tips for a Better Knowledge Base

  • Write in plain sentences, not bullet point fragments. The AI understands prose better than raw lists.
  • Be specific about prices. Instead of "prices vary", say "a 60-minute massage is £65, a 90-minute massage is £90."
  • Include your cancellation and no-show policy explicitly so the AI can inform customers.
  • If customers often ask the same question and the AI is getting it wrong, check whether the answer is clearly stated in your Knowledge Base. If not, add it.
  • After adding new documents, run Business Brain again to see if the suggestions change.

7. Reading Your Dashboard

7.1 Overview (Home Screen)

When you log in, the first screen you see is the Overview. It shows four summary numbers at the top:

Below the summary cards, you will see a list of today's bookings with the customer name, service, time, and status.

You will also find your QR code on this page — click the download button to save it.


7.2 Calendar

Go to Dashboard → Calendar for a full week-by-week view of all your bookings.

  • Use the arrow buttons to move between weeks.
  • Each booking appears as a coloured block in the relevant time slot.
  • Click any block to see the full booking details.
  • Use the New Appointment button to add a manual booking.

7.3 Conversations

Go to Dashboard → Conversations to see how customers are engaging with your page, and to read every chat session they've had on it.

The numbers at the top summarise the last 7 days:

  • Total conversations — how many chat sessions started.
  • Booking conversion rate — how many of them ended in a booking.
  • Conversation drop-off rate — how many ended without one.
  • Top questions this week — the most common things customers have been asking.

These appear once you've had at least 3 conversations; below that, percentages from one or two chats would tell you nothing. (The statistics are a Pro feature. On the Basic plan you'll see an upgrade prompt in their place — the transcripts below are unaffected and stay available on every plan.)

The transcripts are underneath:

  1. The list shows each conversation with the customer's detected language, their intent (e.g. question, booking, complaint), and a preview of the last message.
  2. Click any row to open the full conversation transcript.
  3. Inside a conversation, you can see:
    • Every message exchanged between the customer and the AI
    • The language the AI detected
    • The intent the AI classified the conversation as
    • Whether a booking was made and its current status
  4. Use the Load more button at the bottom to see older conversations.

Tip: Review conversations regularly. If customers are repeatedly asking the same question and the AI is not answering it well, that is a signal to add more detail to your Knowledge Base.


7.4 Customers

Go to Dashboard → Customers to see a list of everyone who has ever booked with you.

Each row shows:

  • Customer name and email
  • Phone number (if provided)
  • How they found you (via chat, or added manually)
  • Number of total bookings
  • Date of their last booking

You can search by name, email, or phone number using the search bar. You can also sort the list by newest, oldest, or name.

Click on any customer row to see their full booking history with you.


7.5 Performance

Go to Dashboard → Performance to see how the work is actually going. Pick a day, week, month or year — and page back and forward through them — to see:

  • Appointments and services performed. If a customer books three services in one visit, that counts as one appointment with three services performed, so your appointment count reflects people through the door rather than lines on a receipt.
  • Revenue. Only appointments that have already happened. Anything still to come is shown separately as upcoming, so you never mistake a full diary for money earned.
  • Booked vs scheduled hours. How much of the time someone was scheduled to work actually got booked. If nobody has working hours set for a period, this shows as "no hours scheduled" rather than 0% — there is simply nothing to measure against.
  • Requested by name. How often customers asked for that person specifically instead of "any available".
  • Top services, which you can also roll up by category.

Every figure is compared with the period before it, so you can see the direction of travel at a glance.

Looking for how customers are chatting with your page rather than how the work is going? Those numbers live with the transcripts they summarise, under Conversations (see 7.3).

If you have more than one person taking bookings, you also get a table with a row for each of them, and clicking a row opens their individual breakdown. With a single person the table is hidden — the numbers above it are already theirs.

Performance is a Pro feature. On the Basic plan this page shows an upgrade prompt instead.

Prices are recorded at the moment each booking is made, so putting your prices up today will not rewrite what last month earned.

What your team members can see

If you have invited team members to their own logins, each of them has a My stats page in their portal showing the same figures for their own work only — including their own revenue. They cannot see a colleague's numbers, and they cannot see the business-wide totals. Only you and any managers see the whole team.


7.6 Morning Briefing Email

Each morning you will receive a summary email (assuming your business email is set in Settings → General). It includes:

  • Today's schedule — every appointment booked for the day, with times and customer names.
  • Expected revenue — the total value of today's confirmed bookings.
  • First-time customers — any customers today who have never booked with you before, highlighted so you can give them a great first impression.
  • Week-over-week — a quick comparison to the same day last week, so you can see whether things are trending up or down.

To send yourself a test briefing at any time, go to Dashboard → Settings → Notifications → Send test briefing.


8. Using mindyOne on Your Phone

You can add mindyOne to your phone's home screen so it opens like any other app: its own icon, its own window, no address bar, and your dashboard one tap away. There is nothing to download from an app store — it is the same mindyOne you already use, just in an app-shaped window.

8.1 Adding It to Your Home Screen

Open your dashboard on your phone and look for the Add to Home Screen button. It sits beside your QR code, in the Your mindyOne Smart Business Page card on Dashboard → Overview (the same card also appears in Settings → General).

On Android — Chrome or Edge

  1. Tap Add to Home Screen.
  2. Your phone asks you to confirm — tap Install (some phones say Add).
  3. The mindyOne icon appears on your home screen, ready to use.

On iPhone or iPad

Apple does not let a website add itself to your home screen, so this one takes a few taps of your own. It also has to be done in Safari — Chrome and other browsers on an iPhone cannot do it.

  1. Open your dashboard in Safari and tap Add to Home Screen. A short reminder of these steps appears.
  2. Tap the Share button — the square with an arrow pointing up, at the bottom of the screen.
  3. Scroll down the list of options and tap Add to Home Screen.
  4. Tap Add in the top-right corner.

The first time you open it on an iPhone, you may be asked to sign in again. That is normal — iPhones treat a home-screen app as separate from Safari. Sign in once and it will remember you from then on.


8.2 If You Don't See the Button

The button hides itself when there is nothing for it to do. The usual reasons:

  • It is already installed. Once mindyOne is on your home screen, the button disappears — check your home screen and app drawer before trying again.
  • Your browser doesn't support it. Desktop Firefox, for example, has no way to install a page. On a computer, Chrome and Edge do work if you'd like mindyOne in its own window there too.
  • The page has only just loaded. Your phone can take a second or two to offer the option. Wait a moment, or pull down to refresh the page.

8.3 What Changes — and What Doesn't

  • It opens straight to your dashboard. No typing an address, no hunting for the right browser tab.
  • Same account, same data. It is your live dashboard — everything you can do in the browser you can do here.
  • It still needs an internet connection. Nothing is stored on your phone for offline use, so with no signal the app cannot load your bookings.
  • It does not add phone notifications. Adding the app does not turn on pop-up alerts. New bookings still appear the moment they happen while you have mindyOne open, and your morning briefing still arrives by email (Section 7.6).

8.4 Your Team Can Do This Too

If you have given a team member their own login (Section 4.5), they can add mindyOne to their phone the same way — the Add to Home Screen button is at the bottom of the menu in their staff portal. It opens their portal — their own calendar, appointments and clients — not your owner dashboard.


8.5 Removing It

Press and hold the mindyOne icon on your home screen and choose Remove or Uninstall, exactly as you would for any other app. That removes only the shortcut — your business page, your bookings and your customers are completely unaffected, and you can always add it back.


9. Getting Help & Support

Need a hand or spotted something not working? You can reach the mindyOne team from anywhere in your dashboard.

  1. Click the floating Help button in the bottom-right corner of any dashboard page, or open Help & Support at the bottom of the sidebar menu.
  2. Choose a category — Problem (something isn't working), Feature request (a feature you'd like to see), or Feedback (general thoughts or suggestions) — and describe what's going on.
  3. Click Send message. You will receive a confirmation email straight away, and the team will get back to you within 1 business day.

Your customers can send us a message too — there is a "Report a problem or leave feedback" link at the bottom of your public business page.

Where those customer messages go: straight to the mindyOne support team, and nowhere else. You are not notified when a customer sends one, and it does not appear anywhere in your dashboard — there's no record of it for you to find. The customer gets a confirmation email, we look into it, and we contact you if we need anything from you to sort it out.

So it isn't a channel for customers to reach you. If you want customers to be able to message you directly, give them your phone number or email in Settings → General — those are shown on your page.
